    Position Overview

    Content Operations Coordinator

    As the Content Operations Coordinator, you will be essential in managing the seamless delivery of high-quality content. This role acts as a central hub for workflow execution, ensuring content progresses efficiently from intake to production while upholding stringent governance and compliance standards.

    In this position, you will keep high-volume workflows organized and audit-ready, supporting contract and SOW administration while guiding AI-assisted production workflows. This role is perfect for individuals who thrive in structured environments and excel at bringing order to complexity.

    Key Responsibilities

    Contracts, SOWs, and Vendor Administration (10%)

    • Track and reconcile SME contracts and statements of work.
    • Ensure all milestones, deliverables, and COI documentation are complete.
    • Proactively identify gaps in documentation and collaborate with the Talent & Resource Manager to resolve issues.

    AI-Assisted Production Operations (15%)

    • Execute AI-supported workflows, such as drafting and copyediting, using established SOPs.
    • Maintain quality standards, ensuring checks for accuracy, bias, and compliance.
    • Monitor AI usage and workflow adherence for audits and continuous improvement.

    Content Quality Assurance (20%)

    • Collaborate with stakeholders to ensure content aligns with brand voice and quality standards.
    • Submit and track change orders for content updates.

    Documentation Intake, Compliance & Accreditation Support (20%)

    • Manage the intake of SME deliverables, ensuring all required materials are complete.
    • Maintain accurate data in tracking systems for visibility across the development pipeline.
    • Handle version control and regulatory documentation to ensure brands remain audit-ready.

    Copyright, Permissions & Asset Governance (10%)

    • Act as the point of contact for copyright and permissions related to SME materials.
    • Verify licensing and maintain proper documentation, escalating complex cases as required.

    Course Mapping & Tagging (10%)

    • Implement course mapping and tagging workflows across platforms.
    • Ensure accurate tagging to enhance content discoverability.

    Talent, Resource & Scheduling Support (15%)

    • Maintain the SME talent database, coordinating for webinars and content delivery.
    • Support onboarding processes and enforce SLAs to keep workflows on track.

    What You’ll Bring

    • Experience: 2+ years in content operations, publishing coordination, or project support.
    • Skills: Strong organizational skills and attention to detail.
    • Tools: Familiarity with project management software (e.g., Monday.com) and content management systems.
    • Collaboration: Ability to work across cross-functional teams.

    Preferred Qualifications

    • Experience in accredited continuing education environments (e.g., CME, CNE, CPE).
    • Familiarity with accreditation standards like ACCME, ANCC, or ACPE.
    • Exposure to digital learning production workflows and AI-assisted content development.
