Join Our Team as a Business Operations Coordinator
To create exceptional products, we require a robust back office. We are in search of a Business Operations Coordinator who is hands-on with every component of our business operations. This individual will bring technical discipline to the role, utilizing logic and structured data to solve problems that others may handle manually. Your primary focus will be to ensure a seamless “User Experience” for our team, allowing them to concentrate on our mission.
What We’re Looking For
- You Lead with Kindness: You genuinely care about the individuals behind the screens, bringing patience, warmth, and positivity to every interaction.
- You Love a Good Spreadsheet: You thrive on writing formulas that optimize processes and enjoy sorting through data.
- You Are Incredibly Organized: You find joy in clearing queues, checking boxes, and emptying inboxes.
- You Are a Systems Thinker: When faced with a broken, slow, or repetitive process, you instinctively seek to redesign it for improved efficiency.
- You Have an Automation Mindset: While you may not code, you’re eager to explore new tools and automate tasks rather than performing them manually multiple times.
If this sounds like you, we’d love to hear from you!
Your Responsibilities
You will collaborate directly with the Director of Operations, helping us stay compliant, organized, and efficiently paid.
People Operations
- You will oversee the onboarding experience for new employees, managing checklists to ensure laptops arrive, accounts are provisioned, and paperwork is signed, enabling new team members to start strong.
- You will be the friendly yet firm auditor of compliance, regularly checking timesheets for our government projects to ensure accuracy.
- You will be the first point of contact for team inquiries on HR and benefits, addressing questions such as adding dependents to dental insurance.
- You will manage logistics for virtual Town Halls and coordinate our annual all-hands company offsite, supporting our company culture through thoughtful gestures and remote events.
Recruiting Coordination
- You’ll facilitate the candidate interview process, ensuring all parties have the necessary links and materials to avoid miscommunications.
- You will maintain our Applicant Tracking System, ensuring candidates are properly tagged and monitored throughout the hiring process.
- You’ll assist with candidate outreach, reviewing resumes, and sorting applications to identify top talent.
Finance & Growth
- You’ll compile timesheet data each month to generate invoice drafts for review and submission to clients.
- You’ll scrutinize expense reports, flagging any discrepancies against our policies.
- You’ll help document and organize project information, streamlining proposal writing for future projects.
- You will act as the organizer of our contracts, tracking modifications and ensuring our records are tidy and audit-ready.
Ideal Qualifications
While not required, the following qualifications would be a plus:
- You have previous experience in the government or civic space, or a keen interest in it.
- You possess strong writing skills, believing in the efficiency of clear communication over lengthy meetings.
- You are familiar with design tools like Figma or Canva to create professional internal communications.
- You are open to scripting for automation or asking AI for assistance to streamline processes.
